DOWNLOADING AND INSTALLING MSGTAG
[Option 1] On the MSGTAG website, click on the appropriate download button. A box
will appear asking if you want to Save to disk or Run from location. Click on Save
to disk and then press OK. A new box will appear asking where you want to download
the file to. Select your location and click Save.
[Option 2] On the MSGTAG website, click on the appropriate download button. A box will
appear asking if you want to Save to disk or Run from location. Click on Run from location
and then press OK. After the MSGTAG file has downloaded, the InstallShield Wizard will
install MSGTAG for you.
ENTERING YOUR MAIL SETTINGS
To import your mail settings:
If you are using MS Outlook, Outlook Express, Incredimail, Eudora, Netscape Mail or Mozilla Thunderbird
as your email program, the Import function is the easiest way to set up your mail accounts. Use the
Import function to automatically retrieve the relevant settings from your email program.
- Click on the Options button, select Tools and then select Mail Accounts

- Click on the Import New... button on the MSGTAG Accounts window.

- The Import Mail Settings window will appear and MSGTAG will present you with a list of the mail
accounts that it has detected.
- Check the accounts you want MSGTAG to import.
- Click the Import button.
To add a mail account manually:
MSGTAG allows you to add mail account settings manually. If you are using an email program other than MS
Outlook, Outlook Express, Incredimail, Eudora, Netscape Mail or Mozilla Thunderbird, you will need to manually
add your mail account settings.
You will need the following information from your Internet service provider (ISP) or local area network
(LAN) administrator:
- The name of your outgoing mail server
- The port that your computer uses to access this mail server
- Click on the Options button, select Tools and then select Mail Accounts.

- Click on the Add button on the Mail Accounts window.

- The New Mail Account Wizard will guide you through the process of manually adding a mail account.

Getting Your Mail Account's SMTP Settings:
To get the name of your SMTP server, you will need to consult the documentation provided by your Internet Service
Provider (ISP) when you signed up for your email account. Contact your ISP if you're still unsure.

MSGTAG's SMTP Port Settings:
When MSGTAG asks for your SMTP port (below), it's best to use the port number that MSGTAG provides you, and make sure you change your mail program's SMTP port setting to match this. Unless you are using Eudora, you should not use port 25. The reason for this is that some antivirus software uses localhost port 25. If you are running this type of software and MSGTAG is listening on port 25, there is a good chance you will experience conflict.
If you are using Eudora, you will need to use port 25, because this is the only port available for Eudora.
If you want to add mail accounts that use different SMTP servers, make sure that each account is listening on a different port, so MSGTAG can send the outgoing message to the correct SMTP server. Remember to update each mail account's SMTP port number in your mail program accordingly.

Once you have entered the details of your mail account, the MSGTAG wizard will instruct you to
change the SMTP server settings in your mail program.

YOUR MSGTAG ACCOUNT
To create a new MSGTAG Account
You must have a MSGTAG account to use the application. If you do not have one, you can create one.
- Click the Options button, then select Tools and click on MSGTAG Account....

- The MSGTAG Account wizard will be displayed. Select the 'I want to create a new MSGTAG account' option and click OK.
- The MSGTAG Account wizard will provide you with links
to the terms and conditions of MSGTAG. Once you've read these and agreed
to them, check the box and click the Next button to proceed.
- The wizard will guide you through the process of setting up your
MSGTAG account.
To use an existing MSGTAG Account
If you've set up your own MSGTAG account before, you don't need to set up another one,
simply enter the user details for your existing account and MSGTAG will recognise you.
[Please note that you cannot run two instances of MSGTAG at the same time using the same
account. If you intend to use MSGTAG on two different computers, and there is a chance
that you might have them running simultaneously, we strongly suggest that you set up
two separate MSGTAG accounts.]
- Click the Options button, then select Tools and click on MSGTAG Account....

- The MSGTAG Account wizard will be displayed. Select the 'I want to use an existing MSGTAG account'
option and click OK.
- Enter your email address and the password you supplied when you
created your MSGTAG account. If you have forgotten your password, click
on the Forgotten? button and MSGTAG will send you an email with
instructions on how to create a new password.
To change your default settings:
You can change the default settings for MSGTAG tagging and notification options
in three ways:
- By right-clicking on the MSGTAG icon in the system tray and clicking on
Default Settings.
- By clicking on Default Settings in the Tools menu.
- OR by clicking on one or more of the three Default Settings buttons on the dashboard.
To tag your mail:
You can choose to enable or disable tags in your email in three ways:
- By clicking on the On/Off button on the MSGTAG application
- By right-clicking on the MSGTAG icon in the system tray, then checking or unchecking the On/Off option.
- Or by clicking on the Options button, then Tagging then checking or unchecking the On/Off option.
If tagging is enabled, a check symbol will appear next to On/Off in the
Tagging menu. The On/Off button on the application will be set to On.
To enable visible message footers:
MSGTAG Status lets you choose to include a MSGTAG footer in your tagged email messages. You can enable
or disable visible footers in three ways:
- By clicking on the Footer On/Off button on the MSGTAG application
- By right-clicking on the MSGTAG icon in the system tray. Point to Default Settings
and then click Footer Enabled
- Or by clicking on the Options, Tagging menu, pointing to Default Settings and selecting
Footer Enabled.
If you have set MSGTAG to include footers, there will be a check symbol next to Footer
Enabled in the Default Options menu. The Footer On/Off button on the
application will be set to Footer On.
To choose to be notified by email
You can choose whether or not to have read notifications sent to you by email.(Note: you may find it is better
to have email notification disabled if you are a high volume user).
If you have email notification disabled, you can still check the status of your tagged sent
messages simply by looking at the dashboard on the application manager.
- Click on the Notification Emails On/Off button on the MSGTAG application;
- OR right-click on the MSGTAG icon in the system tray. Point to Default Settings and
then click Notify by Email;
- OR On the Tools menu, point to Default Settings and then click
Notify by Email.
If you have set MSGTAG to notify you by email, there will be a check symbol next to
Notify by Email in the Default Settings menu. The Notification Emails On/Off
button on the application will be set to Notification Emails On.
You can also elect to change to email notification after you've sent the email, provided the email hasn't
yet been read. Simply right-click on the email listed in the MSGTAG Status 2 dashboard grid and select
the Properties option. You can check the Email notification enabled and when the email is read,
you'll receive a notification.
To customize the appearance of your message footers:
MSGTAG Status allows you to write your own personal message in the footer that appears at the bottom
of your tagged sent messages.
- Click on the Options button, select the Tagging menu and click on Message Footer.
You can now modify the text and font that appears in the MSGTAG footer, edit the colors and decide whether
to display a colored box around it.
To minimize MSGTAG
MSGTAG runs in the background. You can minimize the application by minimizing
the MSGTAG window or, on the Tools menu, clicking Minimize to Tray.
In the system tray at the bottom right of your screen a MSGTAG icon will appear.
A red cross through the icon indicates that MSGTAG is off. If the
icon has no red cross through it, MSGTAG is on.
To close MSGTAG
To close MSGTAG, simply right click on the icon in your system tray and select Exit.
IMPORTANT: Please note that when MSGTAG is closed, you will not be able to send any email.
But don't worry, MSGTAG will warn you before you exit, so you don't switch it off accidentally.
We suggest that you leave MSGTAG running and just disable
tagging when you don't want to use it.
Changing your mail account properties
MSGTAG allows you to change your mail account settings manually.
- On the Options, Tools menu, click on Mail Accounts...
- In the Mail Accounts window, select a mail account by clicking on it, and
then click the Properties button.
To remove a MSGTAG account
- On the Optionsm Tools menu, click on Mail Accounts...
- In the Mail Accounts window, select a mail account by clicking on it, and
then click the Remove button.
To adjust the default settings for each recipient
When you have a large number of email contacts, MSGTAG can help you to automatically set
default options for each recipient. This means you don't need to spend time manually configuring
your tagging options each time you send an email. You can set default options for individuals
(e.g. john.smith@msgtag.com) and entire email domains (e.g. every email address ending in
"@msgtag.com")by creating groups for your contacts and setting the tagging options for the group.
To manage your contacts
- Click on the Contact Settings button on the dashboard OR
- Click on the Options menu, select the Tools menu and click Contacts....

To add a new group
Create groups so that you can manage your contacts more efficiently. You can create
multiple groups, but an individual or domain cannot belong to more than one group. Each
group must have a unique name (e.g. family members, work contacts, clients, etc).
- On the Manage Contacts window, click on the Add button.
- Select Add a new group and follow the wizard's instructions.
To add a person to a group
- On the Manage Contacts window, click on the Add button.
- Select Add an email address and follow the instructions in the Add Contact Wizard.
To add an email domain to a group
- On the Manage Contacts window, click on the Add button.
- Select Add an email domain (e.g. every email address ending in
"@msgtag.com") and follow the instructions in the Add Contact Wizard.
To move a contact
You can move a contact between groups by clicking on the contact and dragging it
to a different group.
To change the properties of a group
Select the group by clicking on it. Then click the Properties button. You can then
edit the group's options.
To delete a contact
Select the contact by clicking on it. Then click the Remove button.
To delete a group
Select the group by clicking on it. Then click the Remove button. Please note that
you cannot delete a group without first removing the contacts in it.

To check the status of your tagged messages
Each time you send a tagged message, it will appear in the Tagged Sent Items window of
the MSGTAG application manager, with the following information displayed:
- Subject: (The subject you provided for the message)
- Recipient: (The person or email address you sent the message to)
- Sent: (The date and time you sent the message)
- Notify: (What type of notification you will receive - Email, SMS or both)
- Footer: (Whether the message contained a visible tag or not)
- Received: (The date and time the message was received)
- Elapsed: (The time between sending and reading)
To delete a message from the tagged sent items list
Select the message by clicking on it. Then press the Delete key on your keyboard.
To delete multiple messages from the tagged sent items list
Select messages that are next to each other by holding down the Shift key on your keyboard and
using the mouse; alternatively, you can use the Ctrl key and the mouse to select non-adjacent
messages.
Then press the Delete key on your keyboard or right-click and select Delete.
To archive one or more message from the MSGTAG Status dashboard
Select a message message by clicking on it or a group of messages using Shift-click or Control-click. Then
right-click on the selection and select the Archive option. You will be prompted to save the archived tag
entries on your computer. Browser for a suitable location, enter a name for the archive and press Save.
